Position Summary:
Ensures overall operational efficiency through accurate, timely completion, distribution, and processing of client related documents. In addition, managing office operations such as supply ordering, staff timesheets, answering phones, greeting visitors, Temperature Checks, and client file updates. When needed will fill in for Direct Care Staff of the Day Program, such as, teaching activity, going on outing, daily paperwork or pick-up or drop-off of clients.
Essential Duties/Responsibilities:

- Completes Service Plan Preparation documentation, processes incident reports, and updates/creates client files.
- Reviews end of month Day Program and Residential documentation to ensure accuracy and completeness prior to completion of monthly filing.
- Ensuring the collection of staff monthly timesheets within the required time frames to facilitate accurate and timely payroll.
- Tracks staff receipt of monthly and bi-monthly pay through signature verification.
- Maintains the confidentiality of staff information by not discussing personnel action, pay, or additional sensitive information with anyone other than Executive Director or Deputy Director.
- Bi-Monthly order of office supplies, maintenance of ordering records to track inventory and notify others of any discrepancies or losses.
- Maintains cleanliness and orderliness of file room and back office supply area.
- Answers telephone taking routine messages, screens calls for crisis situations, responds to routine and emergency inquiries. Interacts with clients daily.
- Update and purge day program filing to ensure timeliness and completeness of client files.
- Assist Program Manager with monitoring of day program staff interactions within classroom, pick up and drop off clients, and on Supported Community connections.
- Performs other related duties as assigned to ensure the efficient and effective functioning of the work unit.
- Filling in for Direct Care Day Program staff. Working directly with clients, taking them on outings, leading activities at the office and pick-up/drop-offs of the clients.
Schedule:
- Monday to Friday
- Weekends
Benefits:
- Pay starts at $16/hour (Depends on experience). After one year, you will become eligible for a pay increase every 6 months, in January and July. There may be room for negotiation.
- There is no paid time off. As a company policy, staff has a chance to start earning vacation/sick time a year after working for PDS. We do offer 9 paid holidays throughout the year.
Experience:
- Administrative skills- 2 years (Preferred)
- Working with people with Disabilities- 1 year (Preferred)
License:
- QMAP (Preferred)
- Colorado Driver’s (Required)
- CPR (Preferred)
- Safety Care (Preferred)
