Description:
African Parks Foundation of America seeks a part-time Office Manager / Finance Associate to work with our growing non-profit organization in the US. This job will support the COO and fundraising staff, working both remotely and at our New York City office. We are looking for candidates with skills applicable to a broad range of duties, from general office management to banking and financial accounting, database donation tracking, and even assisting with event (virtual and in-person) production.
Duties and Responsibilities:
- Organize and manage the physical office space
- Track and order supplies for NYC office and other remote office locations
- Oversee receipt and logging of incoming and outgoing mail
- Forward to remote staff as needed
- Oversee telephone calls and voicemail messaging
- Manage preliminary banking operations – log, scan, deposit checks – and the accounting thereof; notify team of all incoming contributions received, with appropriate details
- Manage petty cash; manage credit card accounting and tracking of necessary receipts
- Assist with the recording and accounting of stock donations and sale confirmations
- Monitor and track incoming contributions received via third-party online giving platforms
- Receive and manage invoices, verify new vendors
- Track incoming donation checks, bank wires and stock donations on Salesforce database
- Assist with the execution and production of collateral materials, including printing needs, PowerPoint presentations, etc.
- Assist with virtual and in-person (post COVID-19) event production, including scheduling, invitation lists, and attendance tracking
- Oversee the coordination and shipment of gifts to donors
- Book travel – flights, hotels, etc. – when COVID-19 restrictions allow
Requirements:
- Prefer those with experience and interest in administrative/financial track careers, especially in the non-profit world
- College graduates with business degrees a plus
- Candidates should have a good sense of how to organize projects, track information, work within existing systems and processes and help develop others as we grow
- Must have access to a solid internet/WIFI connection when working outside the NY office
- Must be capable of working virtually, especially with communications via Skype, Zoom, WhatsApp and other platforms, and have some experience with online databases, accounting, and banking platforms
- Candidates with experience in QuickBooks and Salesforce a plus
- Interest in Africa and wildlife conservation also a plus
