Africa Communications Media Group is looking for a Personal Assistant to CEO

Summary:
For the CEO of our company, Africa Communications Media Group (ACG), we are recruiting a Personal Assistant to free her time from organizing and administrative tasks so that she can spend maximum time on strategic tasks. The person in this role will be the CEO’s go-to resource for both professional and personal diary coordination, project management, note taking and writing, editing, and planning. They are trustworthy and dynamic, with the ability to be very detail-oriented while keeping the big picture in mind. They are also flexible and willing to work unusual hours, weekends, and holidays (occasionally) across various time zones.
Responsibilities:
Administrative tasks-
- Acting as a first point of contact: dealing with email correspondence and phone calls
- Managing diaries and organizing meetings and appointments, often controlling access
- Booking and arranging travel, transport, and accommodation
- Organizing events and conferences, and drafting talking points
- Building and managing databases and filing systems
- Serving as liaison with company’s Senior Leadership Team, taking notes, developing meeting agendas, following up on outcomes
- Supporting CEO in her external commitments, including service on external boards, committees, and other groups
- Representing the CEO in designated meetings as required
- Drafting correspondence, reports, and presentations, as needed.
Project management-
- Coordinating various projects which are running at the same time, from idea to completion
- Maintaining a clear timeline for each project, reminding CEO of important tasks and deadlines
- Liaising with staff, suppliers, and clients
- Giving strategic input on best way to complete tasks in the least amount of time
- Conducting research as needed
- Overseeing special projects.
- Maintaining absolute discretion with confidential information.
Qualifications:
- Bachelor’s degree or equivalent in Project Management
- Excellent writing skills
- Critical thinking and problem-solving skills
- Discretion and trustworthiness: you will often be party of confidential information
- Flexibility and adaptability
- Good oral and written communication skills
- Organisational skills and the ability to multitask
- The ability to be proactive and take the initiative
- Tact and diplomacy
