Summary:
The receptionist will perform the responsibilities highlighted below under the supervision of Team Lead, Resources.
Responsibilities:
- Greet and welcome guests as soon as they arrive at the office and offer tea, coffee and water as needed by guests
- Direct visitors to the appropriate person and office
- Organize Pantry and kitchen in the morning with coffee, tea etc.
- Ensure the closed offices of the CEO, COO, and the conference rooms (3 totals) are clean/wiped down and trash emptied if not handled by overnight cleaning crew
- Will be required to run errands such as pick up Birthday cake and chips for the monthly birthday celebrations
- Organize lunch or meals for the office if needed for TGIF or Bagel Fridays
- Organize transportation for staff when needed using corporate account
- Will be required to call with vendors when needed on issue or corrections in the office
- Maintain Visitors Logs and building portal access
- Wipe down the front door handles and other commonly touched surfaces
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries, packages and distribute them accordingly
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, add visitor to the security portal for building access)
- Perform other clerical receptionist duties such as filing, photocopying, and faxing
- Diary management and management of meeting rooms
- Manage office supplies such as stationaries
- Ad-hoc office administration duties such as call clients to set up appointment, set up candidates’ interviews etc. if needed
Requirements:
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- At least 3yrs experience
- Proficiency in Microsoft Office (Outlook, work, and basic excel/PowerPoint
- Hands-on experience with office receptionist duties
- Professional attitude, conduct and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Excellent attention to details
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service and can-do attitude
- Proficient in English (oral and written)
- High school degree: additional certification in Office Management is a plus
