About Job:
Hiring for an Events Assistant for our growing African & Caribbean catering company with a reputation for immaculate service, attention to detail and a passion for fine food, who is willing to join immediately and work for 16-25 hours per week.
Requirements:
- Confident communication skills (written, verbal and interpersonal)
- Previous experience of volunteering in Events or a similar area of work
- Ability to think proactively and be calm in sometimes hectic situations
- Good administrative and IT skills (including Microsoft Outlook, Word, and Excel)
- Creativity and ability to work on own initiative and meet deadlines
- Excellent team player
- Minimum of 3 years’ experience within Catering/Food & Beverage – Event Management or PA
- Knowledge of event industry
- Knowledge of African and Caribbean food
- Administrative skills
- Proficient in working in a fast-paced environment
- A pro-active and can-do attitude, even when working under pressure
Duties and Key Responsibilities:
- Assisting Event Directors
- Dealing with customer phone calls
- Follow up calls to new customers
- Organising tasters
- Creating proposals
- Creating and supplying function sheets
- Liaising and meeting with venues/clients
- Liaising with all other suppliers involved
- Planning and co-ordinating events
- Social Media update
- General Administrative duties, Filing

Summary:
- Responsible for undertaking the sales and *events* bookings and administration.
- Assisting on pre-event operations, including the preparation of event sheets and documentation for each event.
- Liaising with suppliers and partners.
- Assisting with product sourcing and design, purchase, and preparation of bespoke event materials.
- Assisting on site when needed for events – requires an element of some weekend working.
- There will also be an element of office management duties and diary management for the MD.
- The successful candidate will be passionate, enthusiastic and be innovative in their approach to events and be able to manage their time and responsibilities efficiently, including ensuring that team meetings go ahead as planned and deadlines are met. They will have excellent communication and organizational skills and have a flexible ‘can do’ approach.
- Adept at using various media for communication, including Facebook, Twitter & Instagram.
