Description:

The Director of Operations manages the day-to-day operations of the CWSP at Christ the King Jesuit College Prep. As a leader of the CWSP team, this position will interact with students, school faculty/staff, and business leaders to execute the transformative CWSP model alongside Corporate Work Study staff. By overseeing the coordination and operations of the overall program, he/she will lead the team towards two key goals:

Retaining at least 88% of all our business partners in the Corporate Work Study Program, while demonstrating timely and impeccable customer service.

Support, develop and train students to excel in the workplace.

Responsibilities:

OPERATIONS MANAGEMENT-

  • Lead the successful execution of all CWSP policies (attendance, behavior, discipline, dress code, recognition, remediation and grading), ensuring high expectations and high support for students’ work performance and cohesive CWSP policy integration within the school.
  • Assist with institution of controls to reduce the number of work absences.
  • Oversees execution and ongoing optimization of routine program elements, i.e. morning check-in, student coaching, re-employment, and emergency procedures.
  • Accountable for all legal, safety, and employment requirements (Federal, State, local) for the CTK CWSP program, as well as employment agreements with job partners Leverages Salesforce reporting to develop tracking mechanisms that ensure a high level of quality control and accountability for operational excellence.
  • Develops, refines, and/or documents CWSP procedural processes that allow the day-to-day operations to run smoothly.
  • As the Director manages CWSP operations and makes improvements, it is expected that he/she will solidify the institutional memory of all policies and procedures, and formally document these, to ensure there is operational legacy to the department.
  • Lead weekly departmental team meetings.

SPONSOR RELATIONSHIPS-

Responsible for cultivating a customer relationship management approach for the office that emphasizes responsiveness and accurate tracking using a CRM (Salesforce) database. This includes:

  • Developing systems for tracking student work performance feedback and interventions.
  • Developing processes for the team to resolve issues with students and corporate sponsors in a timely manner.
  • Coaching and developing staff members to act as true consultants/partners to job supervisors
  • Ensuring all job supervisors are visited 2x per year (fall & spring) and that updated job descriptions, relationship maps, and notes are captured/uploaded to Salesforce.
  • Provide regular and timely updates on any issues regarding assigned job sponsors to the Vice President of Corporate Work Study Program and Director of Corporate Relationships.
  • Serves as a primary contact for a portfolio of job partners, primarily those that only employ 1 student worker (approx. 15-20 total companies).

TRANSPORTATION-

  • Manage scheduling and ensure coverage of transportation routes, including daily drop-offs/pickups, team orientation, sponsor luncheons, professional development days, and other events.
  • Track hours for paid drivers and chaperones and submit payroll.
  • Serve as main transportation contact, both internally and externally, manage accounts with PACE, IPASS, and Yellow Bus Transportation.
  • Ensure vehicle state and city registrations, as well as biannual state safety inspections are up to date.
  • Drive routes/sponsor luncheon routes/ pickup students at work as needed in school vehicles.
  • Coordinate bus use with athletics and school groups.
  • Oversee any necessary maintenance requests for school vehicles.

JOB TRAINING AND PLACEMENT-

  • Collaborate with the Vice President and CWSP staff to coordinate Summer Business Institute and Orientation for all new and returning students; includes organizing workshops and events.
  • Oversee recruitment of Ambassadors for Summer Business Institute, including selecting and training ambassadors, preparing evaluation materials, supporting ambassadors as they complete evaluations of all freshmen students.
  • Oversee the team’s assessment of freshmen students’ workplace skills (aggregating feedback, homework, tests and data) to assist with job placements.
  • Lead the strategy for student placements, leveraging student skills, student and sponsor feedback, sponsor job descriptions, personal knowledge of jobs, and student is previous performance to ensure successful jobsite placement.
  • Ensure that all students are following Department of Labour requirements.

ONGOING STUDENT WORKPLACE SKILL DEVELOPMENT AND COACHING-

Responsible for cultivating a department that has a coaching mindset. This includes:

  • Overseeing the coordination and implementation of year-round in-class retraining workshops for students.
  • Ensuring distribution and 100% collection of performance reviews and student feedback forms.
  • Partnering with Relationship Managers to schedule and coordinate individual and group meetings with students, sponsors, and other school personnel as needed, utilizing sponsor feedback to ensure job satisfaction.
  • Ensuring that students and CWSP Relationship Managers are systematically discussing work performance: develop system to enable regular student check-ins (i.e., during advisory, after- school).

Requirements:

  • A desire to learn and be a part of the unique Cristo Rey mission, recognizing the educational value and financial importance of the work-study program.
  • Proven commitment to serve and connect on a personal level with Latino and African American students and families from under-resourced communities.
  • At least five years of management experience in business, academic or non-profit sector with a strong track record of driving results.
  • Strong organizational and management skills.
  • Creative, flexible, and entrepreneurial attitude.
  • An undergraduate degree is required; an advanced degree is a plus.
  • Adept user of MS Office, especially Excel, G Suite, and Salesforce.
