Purpose of the Role:

The Analyst will support the work of the MBK Alliance Strategy and Operations team. The Strategy and Operations team ensures successful implementation of strategic planning and team-wide goals and priorities and works closely with the Foundation’s internal teams to oversee and/or coordinate all team operations.

The Analyst will focus on providing administrative support to the Executive Director while also assisting with the management of various logistics related to the team operations. The Analyst will report directly to the Senior Associate, Strategy & Operations.

Core Job Responsibilities:

  • Respond to meeting requests while maintaining an exceptionally organized schedule and task list for the Executive Director
  • Create and maintain file management system for all team documents and oversee reporting to internal teams
  • Track and process contracts
  • When appropriate, coordinate booking travel for Executive Director, foundation guests and grantees in accordance with Obama Foundation policies and procedures
  • Draft logistics plans for team events and travel, distribute to the team and any other relevant parties ahead of events
  • Assist with developing and updating presentations, spreadsheets, and other documents as needed; prepare materials and handouts for team and leadership team meetings, including printing, binding, and collating
  • Manage MBK team calendar, activity reports, and team activities in partnership with the Senior Associate, Strategy & Operations
  • From time-to-time, the Analyst, Strategy & Operations will be tasked with special projects delegated by the Executive Director and the Senior Associate, Strategy & Operations

Key Deliverables / Outcomes:

  • An organized and up-to-date Executive Director and MBK team calendar, and meeting requests are responded to within 24 hours
  • A task tracking system for the Executive Director that responds to the MBK team’s review needs and project timelines
  • When appropriate, accurate record of the Executive Director’s travel arrangements and expenses
  • Accurate record of final documents related to team meetings (agendas, notes, pre-reading, presentations, talking points), promotional material (one-pagers, presentations)
  • An updated team file management system with a documented process for filing and archiving
  • Up-to-date tracking of team vendor contracts

Required Qualifications:

  • Demonstrated ability to manage the schedule and support task tracking for senior executives in a fast-paced environment
  • Demonstrated resourcefulness by securing and deploying resources effectively and efficiently
  • Ability to optimize work processes to get things done, with a focus on continuous improvement
