Few other programs in the country, if any have developed African Centered programming and delivered direct services through the arts and youth development for over 30 years and conducted research based on African Diaspora Rites programs and community development.

Ifetayo’s programs reach youth 2-21 years old, young adults and their families. The organization delivers public performances, and seminars including, but not limited to international cultural exchange, community partnerships, school relationships, parent communications, volunteers, interns, visiting artists, scholars and projects to over 2000 youth and audiences of up to 5,000 each year.

Position Summary:

The Administrative Assistant (AA) will handle a broad and diverse range of responsibilities and assignments to support the Executive Director’s leadership, both internally and externally, and to advance various dimensions of Ifetayo Cultural Arts Academy’s work. This position will assist the Executive Director and the Leadership team in the areas of administration, finance, operations, development, and marketing. He/she will embrace attributes of adaptability and flexibility as the specific duties and responsibilities will evolve based on the needs of Ifetayo.

The AA works closely with the Executive Director, Director of Leadership Development Programs and Director of Art Education Programs to ensure that Ifetayo’s arts, cultural and leadership development programs and initiatives respond to the needs of the community.

Essential Duties and Responsibilities:

Administrative Support:

  • Provide administrative support to Executive Director and to the Leadership team.
  • General clerical tasks such as filing, scanning, photocopying, and editing documents
  • Coordinate and assist with preparation for the Board of Directors’ meetings and committee meetings, including the distribution of materials, logistics, and the note taking and writing of the meetings’ minutes.
  • Manage reception responsibilities and distribution of incoming correspondence.
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Assist with other administrative tasks and projects as needed.

Communication and Marketing Support:

  • Assist Executive Director with preparation and dissemination of organizational communications across multiple channels and platforms.
  • Assist in processing donations, producing acknowledgments, and maintaining donor records.
  • Assist Executive Director with development-related mailings, e.g., annual appeal letters, stewardship initiatives, etc.
  • Assist Executive Director with the planning and execution of special events.

Qualifications and Experience – the ideal candidate will have:

  • The ability to embrace Ifetayo’s mission and the services – specifically have a strong knowledge in the field of arts, African diaspora culture and youth development.
  • Experience working with communities of the African diaspora with; and the ability to feel comfortable with and excited about working with diverse groups of African descent youth and adults
  • The ability to manage multiple tasks, possess outstanding organizational skills and Meticulous attention to detail and think creatively
  • Must possess the ability to work independently in a dynamic team environment with a demonstrated ability to effectively partner with a diverse group of stakeholders.
  • Team player with strong relationship-based approach to working with our team
  • A strong work ethic and creative thinker
  • Strong oral and written communication skills
  • Must have knowledge of Database Management software, MS Office, including Outlook, Excel, PowerPoint
  • Training in at least one artistic discipline
  • A college degree or a minimum of 3 years relevant experience in areas that relate to art education, youth development, African history, public policy, community development or international relation
