About Company:

African Child Trust (ACT) is a young but growing international Christian charity formed in 1998 to relieve poverty in women-led household and to advance the education of disadvantaged children and orphans in Africa. At ACT we are passionate about changing lives, we support vulnerable children to access education from primary school all through to tertiary education so that they can reach their full potential in life. We empower women (widows in need) through skills training to generate income to sustain their families. We are contributing to the overall well-being and development of communities in 8 countries of Africa. We are based in Croydon close to the main stations (5 minutes from West Croydon and 10 minutes from East Croydon). We are currently mostly working remotely although there may be occasionally need for the post holder to work from our office.

The Role:

  • It’s an exciting time of development and growth at ACT as we work towards our new 5-year plan which will see an expansion of our programmes and increase significantly the numbers of children and women we support in Africa. With your ability to understand our charitable purpose and the importance of well-managed office operations, you could really help ACT to reach more disadvantaged children and widows in need in Africa with our services.
  • We are looking for the right person with experience to help manage our office operations, provide appreciative care administration to our donors and supporters, interface with collaborating partners in Africa and support projects, events and fundraising efforts by working closely with and assisting the Director to grow and expand the overall work of the charity.
  • Because you are well organised, you will be able to manage day to day office operations, and with your strong verbal and written communication skills you will help to lead a small dedicated team who are mostly volunteers.
  • As a self-starter, you will demonstrate experience of managing your own work and the work of others, communicate clearly and be well organised.
  • Experience in the charity sector is not essential, but enthusiasm for ACT’s mission and the work that we do is.

Main Responsibilities:

  • Manage the office operations, processes and policies, records, correspondence and documentation, office resources and databases and maintain secure physical and electronic filing systems
  • Manage recruitment of volunteer staff and interns, including induction process and provide support to enable them settle and be productive in their roles
  • Manage all enquiries whether by email, telephone or by post quickly, efficiently, and promptly.
  • Manage all communications appropriately and respond to verbal or written enquiries from supporters, potential supporters, partners in Africa and other stakeholders in the UK and abroad
  • Manage the liaison with overseas partners in Africa and the work that fall-out from these including project reports and activities. Prepare update reports to donors and child sponsors and respond to their enquiries.

Requirements:

  • Minimum good level of general education. A university degree will be beneficial.
  • At least 5 years’ experience working in Administration or Office Operations role
  • Solid IT skills (Microsoft Office). Must be proficient with spreadsheets (Excel) and able to work with databases.
  • Excellent verbal & written communication skills
  • Organised, focused, and efficient self-starter, with the ability to manage time, prioritise workload and with an eye for details.
  • Resourcefulness, proactive and lateral thinking
  • Ability to work well with others and empathetic, particularly towards collaborating partners in Africa and UK donors and supporters
  • The ability to actively listen and understand the objectives, ideas and priorities of potential supporters or collaborators and turn these into creative, aligned opportunities for ACT
  • Ability to establish and maintain office systems
  • Experience of dealing directly with senior stakeholders.
  • Passion and empathy for the ethos of ACT
